This Privacy Policy ("Policy") explains how Rank in AI LIMITED LIABILITY COMPANY, doing business as RankinAI ("RankinAI," "we," "us," or "our"), collects, uses, shares, and protects personal information when you access, register for, or use the RankinAI website, platform, and related services (the "Service").


This Policy applies to all users who create an Account or otherwise use the Service. It describes what information we collect, why we collect it, how we use it, who we share it with, how long we keep it, and the rights available to you. By creating an Account or using the Service, you acknowledge that your information will be handled as described here. If you do not agree, please do not create an Account or use the Service.

1. Scope

This Policy applies to the RankinAI web application and any related pages, tools, dashboards, features, and customer support channels. It also applies to information you submit for analysis, such as brand details, websites, URLs, content samples, prompts, and other inputs used to generate AI visibility, GEO/LLM-search, and marketing insights.

 

This Policy does not apply to third-party websites or services that you may access via links from the Service, or to third-party tools you connect to RankinAI. Their privacy practices are governed by their own policies.

2. Definitions

For purposes of this Policy, "Personal Data" means information that identifies you or can reasonably be linked to you. "User Content" means information you submit to the Service for analysis or storage, which may include text, URLs, brand assets, documents, or other materials. "Technical Data" means data collected automatically when you use the Service, such as device and usage information. RankinAI generally acts as a data controller for account and platform operations. In limited cases, we may act as a processor for User Content you provide on behalf of your organization, depending on your use of the Service.

3. Information We Collect

3.1 Information you provide

When you create an Account, we typically collect your name, email address, and password. You may also choose to provide details such as your company or organization name, role, billing information, and other profile or preference settings.

 

When you use RankinAI, you may submit User Content for analysis. This can include brand names, websites, URLs, marketing copy, documents, competitor references, prompts, and other materials. If you contact support, we will collect the information you share in your messages and any related metadata necessary to resolve your request.

3.2 Information collected automatically

When you access or use the Service, we may automatically collect Technical Data such as IP address, device type, operating system, browser type, language, approximate location based on IP, and usage signals. We also collect usage information about how you interact with the Service—such as features you use, pages you visit, approximate session duration, clicks, navigation patterns, and error logs—so we can operate, secure, and improve the Platform.

3.3 Information from third parties

If you use social login (where available), we may receive basic account details from that provider, such as your name, email, and profile image, depending on your settings. If you purchase a subscription, our payment processors may provide us with billing confirmations and limited transaction details. We may also receive aggregated analytics from measurement and performance providers.

4. How We Use Your Information

We use Personal Data and Technical Data to operate the Service, create and manage Accounts, authenticate users, provide access to features, deliver support, and communicate important service updates.

 

We also use information to improve the Platform. This includes debugging, performance monitoring, feature development, user experience optimization, and understanding which workflows are most useful to customers.

 

We may use your contact information to send service-related messages (such as account verification, security notices, policy updates, or billing communications). Where required by law, we will only send marketing or promotional messages with your consent, and you can opt out at any time.

 

We use data for security and fraud prevention, including detecting abuse, protecting Accounts, enforcing our Terms, and maintaining the integrity of the Service.

We may generate aggregated or de-identified analytics based on platform usage to understand trends and improve RankinAI. We do not attempt to re-identify de-identified data.

5. What We Do Not Do

We do not sell your Personal Data to third parties for their own marketing purposes. We do not share your private User Content with unrelated third parties without your permission, except as required to provide the Service or comply with law. We do not knowingly use Personal Data for discriminatory profiling.

6. Legal Bases for Processing (EU/UK/EEA)

Where GDPR applies, we process Personal Data based on one or more of the following bases: contract (to provide the Service), legitimate interests (such as platform improvement, security, and fraud prevention), consent (for optional features or marketing where required), and legal obligation (for compliance with applicable laws). We retain Account information and associated profile data while your Account is active and for a short period afterward to support account recovery, auditing, and legal compliance.

User Content is generally retained for the duration of your Account or contract, unless you delete it sooner or request deletion where applicable.

 

Support communications may be retained for a longer period to maintain service quality and resolve disputes. Technical logs are typically retained for a limited period to support security, analytics, and performance monitoring.

 

Backups may persist for a bounded period after deletion as part of standard disaster recovery processes.

 

Exact timelines may vary depending on your plan, organizational settings, and legal requirements. Where feasible, we will delete or de-identify data when it is no longer needed for the purposes described in this Policy.

9. Your Rights

You may have rights to access, correct, delete, or port your Personal Data, and to object to or restrict certain processing. These rights vary by jurisdiction.

 

For EU/UK/EEA users, you have rights under GDPR including access, rectification, erasure, restriction, portability, objection, and rights related to certain automated decision-making.
